Guidelines for Tours & Events
Rolls -Royce Enthusiast’s Club (RREC)
Terms and Conditions for Events and Tours
These Terms and Conditions Apply to Members of the Rolls-Royce Enthusiast’s Club and are for the adoption of all Sections and Registers that make up the RREC.
For the avoidance of doubt, ‘the RREC’ includes and refers to its Sections and Registers.
From time to time the RREC will organise Events and Tours for your interest, education and enjoyment. We will select suitable venues, hotels and routes together with places of interest.
Any Member with ideas for alternative Events or Tours should contact your Section, Register or the Events Manager at the Club’s Head Office and your request will be considered.
As a Member of the RREC you will be informed of proposed Events and Tours within good time to enable you to decide if you wish to be included, however confirmed bookings will be on a first come basis.
In order for the RREC to remain outside of the; UK Package Travel and Linked Travel Arrangements Regulations 2018 and, where applicable, the European Package Travel Directive 2018; the RREC will ‘not’ be organising and booking any Events or Tours which may bring the Club into conflict with regulation and in such circumstances requires all RREC organisers to use the services of a Hotel Booking or Tour Operator company.

Therefore, we have decided that when we organise an Event or tour using a single venue or hotel, we may decide to provide all relevant details and request that you book directly with the venue or hotel.

Alternatively, and for your convenience, we may book an Event or tour for a group of Members and request that you pay into our designated bank account directly.

However, for Events and Tours of a nature requiring multiple venues and/or hotels which would likely fall within regulation, we will use the services of a Hotel Booking Agency or Professional Tour Operator. Thus avoiding regulation.
Eligible Motorcars…
The RREC was formed to encourage owners and enthusiasts in the restoration, education, maintenance and use of Rolls-Royce and Bentley motor cars, the RREC organises Events and Tours which Members are encouraged to participate in such a car. There will, inevitably, be occasions where a Member applies to participate in a Tour or Event with an alternative car, in such circumstances, the Member may take part in another car and participate, but only after agreement by the RREC.
Events and Tours - Bookings and Payments…
Members will be provided with details of any future planned Tour or Event together with full details of the negotiated cost at that time with an invitation to join. A contingency of (typically 5%) is advised to be included within the final cost, with any surplus being returned at the discretion of the RREC or maintained within the RREC Bank Account for future contingency. Each Member will be responsible for confirming their own bookings and payments on a first come basis and at the same time notifying the RREC of their booking.
Cancelation and Performance…
Each Member will be fully responsible for his/her own participation (and that of any permitted guests) including the liability for the full costs and losses of any Tour or Event due to cancellation whatever the reason. The RREC will not be held responsible for the unsatisfactory performance of any Hotelier or Event organiser nor the failure of any Tour or Event due to cancellation.
Travel to and from the start of Events and Tours…
Members will have to make their own way to and from the start of each Tour or Event at their own additional cost and expense. It is advised that each Member check that they hold an up-to-date Passport (with at least 6 months left to run after the designated end date of any overseas Tour or Event), Drivers Licence, Road Risks Insurance (Green Card) together with sufficient Travel/Medical Insurance and Breakdown Recovery Assistance suitable for the Tour or Event.
Note: On major Tours (where possible) we may give consideration to how participants can arrange for their cars to be transported, to both the start and end points of a Tour or Event so as to reduce the distance that the participants will have to drive to reach the start or end point.
Routes…
All routes to and from the start and end point and during a Tour or Event will be a matter of personal discretion for each Member however we will advise on routes which (where possible) combine a blend of attractive countryside and interesting places to visit along the way. Motorways or their equivalent will be avoided whenever possible, even when longer daily distances are planned. Daily mileage will typically be kept to an average of less than 150 miles per day to facilitate late starts, stops for sightseeing, opportunities for servicing of cars etc. Where possible, on longer Tours, a day free will be periodically built into the programme to allow time for sightseeing etc.
Hotels…
Hotels will be selected which offer a range of facilities and pricing structures suitable for a variety of interests and wherever possible, include secure off-road parking. On longer Tours, 2 or 3 over-night stops will be preferred rather than a succession of single night stops, which will be avoided where possible. As far as practicable an even standard of hotel will be selected with sufficient rooms to allow all participants to be housed in the same hotel, the final choice and selection of rooms being on a first come basis at the discretion of each Member. Typical minimum standards will be for set menu 3 course dinner, local wines and regional breakfast with the option of a packed lunch. Members with vegan, vegetarian and any special dietary requirements should make their requests known to each Hotelier or RREC upon booking.
Mechanical Support…
All Members are advised to familiar themselves with the mechanical and electrical workings of their car as detailed within the original Rolls-Royce/Bentley Service Manual. Keep an eye open for the ‘Workshops’ run by the RREC or the SHRMF from time to time, attendance will broaden your theoretical knowledge and practical understanding. Prior to any Tour or Event you are advised to ensure that your car is fully serviced and road tested with several lengthening journeys. Even on short journeys, you should always carry a basic tool kit and spares so that you could change a tyre, a spark plug and fan belt. A spare can of petrol, water, gear and engine oil is also advisable. While you are on a longer Tour or Event with us, you may have support from other more experienced Members. Should your car suffer any problem you would not find help and assistance in short supply although our aim is to encourage you to rely upon yourself and grow your knowledge base.
Communication to Members...
Communication to Members regarding Events and Tours is, in the first instant, by email and further inclusion in the RREC Forum, Spirit & Speed Magazine when and where appropriate. Our Emails will give the full details and date of each Event, with the venue and/or hotelier’s name and contact details etc.
Communications with Members Reserving and Booking Events and Tours...
For operational and health and safety reasons it is necessary to communicate the name, telephone number and email address of each member reserving a place or booking a tour or Event to each other Member on the tour or Event. You agree to this and also agree to share such information only with the parties involved.
Covid 19 and its Future Variants…
Each Member is responsible for his/her own protection with regard to Covid 19 and its Variants and with particular regard to the current legislation in operation at the time and date of each Tour or Event together with the requirements of Hoteliers and Event Organisers. Our advice to Members is to follow the up to date Government Advice after receiving their own GP’s medical advice. We have no special knowledge of health hazards such as the risk of contracting Covid-19, either during a Member’s travel or at the destination. For the latest travel health information, Members should review the latest Government Advice and be aware of any restrictions. We shall have no responsibility for Covid-19-related requirements that may be imposed from time to time, such as health declaration forms, test screening prior to departure or upon arrival, face coverings or quarantines, proof of vaccination and/or Covid Passports. We have no special knowledge of Hoteliers or Event Organisers financial condition and no liability for any defaults nor will we assist in obtaining future credits with suppliers or return of deposits. We strongly recommend you pay by credit card, take out Covid trip cancellation and/or medical insurance (such as available from the Post Office) however some policies do not protect against cancellation due to pandemics or supplier defaults, so you should select and read the policy carefully.
Health and Safety Risk Assessment…
Risk Assessments are of a basic format, there to ensure that the RREC take care to ensure that they reduce or eliminate any undue risks associated with an Event or Tour. A Risk Assessment should be undertaken for any Event where an evaluation indicates that there may be risks where Members and their guests (or members of the public) could be exposed to, not normally experienced in their everyday life.

A drive and dine to a local hotel for lunch would not normally require a formal risk assessment, but if you knew that there were disabled members in your party or any who had special dietary needs then a ‘duty of care’ exists to meet their needs.

A long weekend tour over the high mountain passes of the Lake District in winter driving pre WW1 cars would require a formal written risk assessment and notification to all members of your party and to risk@rrec.org.uk
Important: No RREC Event or Tour should be considered where Motor Sport Association (MSA) Rules and Regulations apply or where any Member is obliged to participate in any dangerous activity, such as Skiing, Horse Riding, Cliff Jumping, Hang Gliding, etc.
Therefore the minimum that the RREC expects to be undertaken is as follows:
Static Events:
Static Events are usually contained within a display ground, field or car park.
Hazards: Vehicle Movement, Fire.
Who is at Risk: Members, Guests, Public, Animals.
Who should control the Risks: Marshals, identified in Hi-Viz clothing and equipped with communication devices and First Aid Responders.
Contingencies: Clear instructions to participants regarding permitted Vehicle Movement.
Speed Limit Max (10 mph).
Clear Directional Signage.
Vehicles must carry Fire Extinguisher/s.
Fuel Taps to be switched off (where fitted).
Fully Equipped and Signed Fire Point.
Fully Equipped and Signed First Aid Point.
Vehicle keys to be removed, handbrake on and doors locked when unattended.
Vehicles Parked 2 metres or more apart.
Engines not to be run with bonnets open.
Persons Responsible: Section Organisers and Registrars should ensure that standards are published prior to and on the day of Event.
Touring:
Hazards: High Mountain Passes, River Crossings, Open Railway Crossings, Low Car Park Entries, Unmade Roads.
Un-roadworthy Vehicles.
Who is at Risk: Members and Guests, plus members of the public.
Who should control the Risks: Section Organisers and Registrars should ensure that standards are published prior to and on the day of a Tour. Drivers of vehicles ultimately take responsibility for their own actions or omissions.
Contingencies: Clear instructions regarding Vehicle Preparation and Maintenance.
Route Planning. A review of the security of Car Parking facilities, Dietary requirements and any hindrances for Disabled access including Toilets and advice to Members in advance.
Persons Responsible: Section Organisers and Registrars should ensure that standards are published prior to and on the day of Event.
Important: Vehicles entered into Events and Tours must be insured and roadworthy.
If and when required, Risk Assessments should be emailed to risk@rrec.org.uk to demonstrate, if required, that one was produced prior to the Event taking place.
Declaration…
As a Member participant in a Tour or Event and in consideration of the right and privilege to enter and participate, you agree to do so at your own cost, risk and expense. You also agree to release Rolls-Royce Enthusiasts Club Limited, its Sections and Registers from any and all liability and injuries, damage or loss or consequential loss arising from your entry and participation in any Tour or Event. You also agree that information about the participating car, the names of the driver and passengers, including photographs taken during the Event and/or Tour, may be published in the Club’s and RREC’s magazines and websites, unless you inform the Editor by e-mail that you do not wish such information and/or photographs to appear. You confirm that should you be accepted to participate in any Tour or Event, you will maintain fully legal insurance cover for any countries to be visited and that your vehicle will be serviceable and fully road legal.
Insurance…
For the avoidance of doubt. The RREC maintains insurance cover in respect of negligence claims made against RREC on behalf of the UK RREC Membership as a whole. The acceptance of these standard RREC Terms and Conditions is therefore obligatory.

Hotel Booking Agency.
Regularly used and recommended by the RREC 20 HP Register.
They are purely a hotel booking agency, not a tour or rally organiser, but they are very helpful in finding good restaurants and arranging entertainments such as musicians/singers etc. They offer an extremely good personal service, taking bookings from individual participants, and taking deposits and final payments in Sterling or in Euros. They have a system of hedging Sterling payments at the time of taking deposits so they're not affected by fluctuations up to the final payment.
